PEIP by PEER (“PEIP,” “we,” “us”) is committed to protecting the privacy of conference registrants, prospective attendees, and anyone who contacts us through this website. This policy explains what personal information we collect, how we use it, and the choices you have.

This policy is governed by Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation.

Information we collect

We collect personal information in three ways:

• When you contact us through the website’s contact form: your name, email address, and the message you send.
• When you register for the conference through our third-party registration platform: name, professional credentials, employer or clinic, billing details, and any dietary or accessibility requirements you choose to share.
• Automatically, when you visit the website: standard web analytics data such as your IP address, device type, browser, pages viewed, referring site, and approximate location. We use this data in aggregate to improve the site.

We do not knowingly collect personal information from anyone under 18.

How we use your information

We use the personal information you provide to:

• respond to your inquiries and provide customer service;
• process and confirm your conference registration, send pre-event logistics, and issue accreditation documentation;
• email you about the conference you have registered for, including schedule changes, session reminders, and post-event resources;
• with your express opt-in, send you news about future PEIP conferences and PEER educational content;
• comply with our legal and regulatory obligations, including reporting accreditation attribution to the College of Family Physicians of Canada;
• improve the website, analyze traffic patterns, and inform program-planning decisions.

We do not sell, rent, or trade your personal information.

Service providers

We use the following categories of third-party service providers, each under a written contract that limits how they may use the data we share:

• Conference registration platform — takes registrations, processes payment, and manages attendee records.
• Email service providers — send transactional emails and, with your opt-in, marketing emails.
• Web analytics provider — aggregated traffic analytics on this website.
• Web hosting provider — stores and serves website data.

Some service providers are located in the United States or other countries. While stored or processed in those jurisdictions, your information may be subject to local laws, including lawful access by foreign authorities.

Cookies and analytics

This site uses cookies and similar technologies to remember your preferences, keep administrators logged in, and measure how visitors use the site. You can disable cookies in your browser settings, though some parts of the site may not function as intended.

We use a privacy-respecting analytics setup that does not rely on cross-site advertising cookies.

Data retention

• Contact form submissions are retained for 24 months, then deleted unless an active inquiry is in progress.
• Registration records are retained for 7 years to satisfy CME accreditation reporting and financial recordkeeping obligations.
• Marketing email consent records are retained for as long as you remain subscribed, plus 24 months after you unsubscribe, in accordance with Canada’s Anti-Spam Legislation (CASL).

Your rights

Under PIPEDA you have the right to:

• access the personal information we hold about you;
• request correction of information that is inaccurate or incomplete;
• withdraw consent for non-essential uses (such as marketing) at any time;
• file a complaint with the Office of the Privacy Commissioner of Canada.

Security

We use industry-standard administrative, technical, and physical safeguards to protect personal information, including encrypted connections (HTTPS), access controls on internal systems, and secure handling by our service providers. No system is perfectly secure, however; if we ever discover a breach affecting your information, we will notify you and the appropriate regulators in accordance with applicable law.

Changes to this policy

We may update this policy from time to time. The “Last updated” date at the top tells you when the most recent revision took effect. Material changes will be communicated to registrants by email.
